POS systems are dependent on 3 things; Software, the Internet, and Processors. Unfortunately, we cannot control when processors go down, but we can control the response to it.

Here are some steps Union has taken:

  • All of your registers should be in offline mode, we will keep the registers in offline mode until we are in the clear and the processor is back up.

Here is what to do next while in offline mode:

  • Run transactions as you normally do and process payments as you normally would. Please enter in your tips and close out the checks!

How to run checkouts and end of days in offline mode:

If it is the end of the day and you are still in offline mode, here is what to do next:

Employee checkouts:

  • Enter in your tips but DO NOT run a checkout in offline mode. We will assist you with the transaction report in compiling a checkout.

End of day:

  • Don’t worry about running end of the day, Union will automatically run end of the day for you once you are back online.

Once you are back Online:

I am back online and my employees haven’t run a checkout:

Prior to having your employees run a checkout, please take the following precautionary steps:

  1. Log into the POS
  2. Verify that there are no checks that have been left open on the POS
    1. The dropdown at the top to “All Checks”
    2. On the navigation bar Check Status is “Open”, Sort by “Time” Type “All” and Employee is “All”
    3. Close out any checks that are left open
  3. Verify that all tips have been entered in:
    1. 3 lines menu
    2. Enter tips

Once you’ve confirmed that all checks have been closed out and tips have been entered you can run your employee’s checkouts

If your employees are still onsite:

Each employee can run their individual checkout by going to:

  1. 3 lines
  2. Run checkout

If you have, the “Manage Employees” permission you can run each of your employee’s checkouts by going to the

  1. 3 lines menu
  2. Manage employees
  3. Run Checkout

Once checkouts have been ran you are a-ok to run End Of Day:

  1. Go to 3 lines menu
  2. End of Day
  3. Run End of Day

Note: If you have been in offline for multiple days, the checkouts and end of day will combine your days.

I am back online but transactions have re-appeared on the POS and some of them are declined

Transactions that have re-appeared on the POS:

  1. Log into the POS
  2. Open the check
  3. Select Close

Transactions that have declined: You can use the closed walked checks feature in Union to retry these transactions for the next 30 days!

If you want to apply a tip percentage to your closed walked checks and closed walked declined checks:

Note: The “decline” closed walked tip percentage will override the tip that was entered in for the declined transaction.

  1. Log into the Manager Portal
  2. Scroll until you find Settings
  3. Navigate to Payments
  4. Input the decline closed walked tip percentage and the tip percentage for closed walked tabs

5. Select Save

Once you’ve made sure your tip percentages are set, you’ll want to navigate to the POS to close walk all of your declined checks

  1. Log onto the POS
  2. Select the 3 lines menu
  3. Scroll to find “Closed Walked Checks”
  4. Select all the checks you’d like to close
